Customs & Logistics Coordinator

Our client, A.D. Rutherford International (adrutherford.com) has an opportunity for an experienced Customs & Logistics Coordinator to join their Buffalo, NY team.

A.D. Rutherford specializes in customs filing and customs clearance to Canada and the U.S. Importing, exporting and logistics solutions to ensure your goods cross the border. They operate across Canada and has extended into the U.S. with offices in North Dakota, South Dakota, Minnesota, Washington and New York.  They are also excited to mark their 35th anniversary this year and celebrated the important milestone with their team of nearly 50 staff members.

This role will be involved in releasing and classifying import shipments into the United States.  You will handle all aspects of import shipments and communicate directly with clients, US Customs and operational staff.  Along with your strong computer skills, accurate data entry and excellent communication skills, two years’ experience is recommended.

This role works shift work, including overnight and sometimes weekends.

Responsibilities, Skills & Qualifications:

  • Gather information, assess documentation and process entries for customs clearance.
  • Monitor transactions for rejects, acceptance, and release.
  • Preparing freight and customs documents.
  • Coordinating with carriers, customs brokers, and clients to effectively complete each shipment.
  • Responds to all customer inquiries, providing excellent customer service.
  • File shipping documents and other documentation for proper invoicing.
  • Respond to telephone, in person or electronic inquiries or forward to appropriate person.
  • Sort and file documents according to the established system, locate and retrieve documents from maintained records.
  • Maintain and prepare reports, mailing lists, and databases.
  • Interact and maintain relationships with freight forwarders and customers.
  • Set up and maintain manual and computerized information filing systems.
  • Provide logistics information to various internal departments as required.
  • Skills and Qualifications:
  • At least 2 years’ experience in logistics, or customs brokerage.
  • Post-secondary degree or diploma in related field.
  • Proficient in MS Office (intermediate Excel) and working knowledge of transportation management software.
  • Basic mathematical/accounting skills.
  • Excellent interpersonal skills and the ability to work in a small team environment.
  • Excellent command of the English language both written and verbal.
  • Must be flexible if required to work outside normal working hours to meet business demands.
  • Highly organized with the ability to multi-task in an extremely busy environment.
  • Customer service focused.
  • Dedicated commitment to providing superior, timely internal and external customer service.
  • Strong creative problem solving, reasoning and decision making skills in a team environment.
  • Ability to handle large volumes of work and meet tight deadlines with a high level of accuracy.
